Booking Terms & Conditions

The conditions that apply when you book a tour, transfer, corporate programme or any other travel service with Asia Development Services.

Please read before you book

These terms form the agreement between you (the customer) and Asia Development Services Sole Co., Ltd. (“ADS”, “we”, “us”), a company registered in the Lao PDR. They apply to every tour, transfer, vehicle rental, corporate programme, event and visa service we quote or provide. By paying a deposit or confirming a booking in writing, you confirm that you have read, understood and accepted them on behalf of everyone travelling in your party.

Scope of these terms

  • ADS acts as the organiser of your programme and coordinates licensed local suppliers — hotels, transport operators, guides, venues and airlines.
  • These terms cover tour packages, corporate and DMC programmes, vehicle rental with driver, airport transfers, interpreting, event production and visa assistance.
  • Where a signed contract or a written proposal states something different, that document takes priority over these general terms.
  • Individual packages may carry extra conditions, which are stated in the quotation for that package.

Making a booking

  • Send your enquiry with dates, group size and requirements; we reply with a written quotation, normally within one business day.
  • A quotation is valid for 14 days from the date of issue and is subject to availability at the time you confirm.
  • A booking becomes firm only when we have received your deposit and issued a written confirmation naming the services, dates and prices.
  • Please check the confirmation carefully. Tell us within 48 hours if any name, date or detail is wrong — corrections after that may carry supplier charges.

Prices, inclusions and exclusions

  • Prices are quoted in US dollars unless stated otherwise, and may be settled in USD, LAK, THB or the currency shown on the invoice.
  • Only the items listed under “Included” in your quotation are covered by the price.
  • Unless stated otherwise the price excludes: international flights, travel insurance, visa fees, meals not listed, drinks, personal expenses, tips and optional activities.
  • Prices are based on the group size, dates and scope you gave us. If any of those change, we will requote before proceeding.
  • Published prices are a starting point; the final price is the one on your written quotation.

Payment terms

  • A deposit of 30% of the total confirms the booking and holds your rooms, vehicles and venue.
  • The remaining 70% is due before the programme begins, on the date stated in the quotation.
  • Corporate clients may arrange post-payment or monthly invoicing by written agreement in advance.
  • We accept Visa, Mastercard, UnionPay, JCB, Alipay, WeChat Pay, PromptPay, bank transfer, QR payment, cash and corporate invoice.
  • Bank transfer and card processing charges are borne by the payer; please instruct your bank to send the full invoiced amount.
  • If a payment is not received by its due date we may release the booking and the cancellation conditions in section 06 will apply.

Changes requested by you

  • Send every change request in writing to info@adslao.com. A change is only effective once we confirm it in writing.
  • Changes are always subject to availability and to the conditions of the hotels, airlines and other suppliers involved.
  • ADS does not charge its own amendment fee for changes requested 15 days or more before the start date; supplier charges, if any, are passed on at cost.
  • Changes requested within 14 days of the start date are treated as a cancellation and rebooking, and section 06 applies.
  • Adding guests or services is normally possible and is quoted separately.

Cancellation by you

  • Cancellations take effect on the day we receive your written notice at info@adslao.com — not on the day you decide.
  • The refund you receive depends on how far ahead you cancel; the schedule is in the table below.
  • Costs already committed to third parties are deducted before the refund is calculated. These typically include issued air tickets, paid visa fees, venue and event deposits and non-refundable hotel rates.
  • If only part of a group cancels, the per-person price may rise for those who remain, because rates depend on group size.

Changes or cancellation by ADS

  • We may need to adjust an itinerary for safety, weather, road conditions, government restrictions or supplier failure. We will tell you as soon as we know.
  • Where we change a service we will provide one of an equivalent or better standard at no extra cost, or refund the difference in value.
  • If we cancel a confirmed programme for a reason within our control, you receive a full refund of everything you have paid us.
  • We do not pay compensation beyond that refund for changes or cancellations caused by events outside our reasonable control — see section 12.

Refunds

  • Approved refunds are issued within 14 business days of our written confirmation of the amount.
  • Refunds go back to the account or card that made the original payment, in the currency that was paid.
  • Bank, card-processing and currency-conversion charges are deducted from the refunded amount.
  • Unused services on a programme that has already begun — a missed meal, an unused hotel night, a skipped activity — are not refundable.

Travel documents, visas and insurance

  • You are responsible for holding a passport valid for at least six months beyond your travel dates, with enough blank pages.
  • ADS assists with visa applications and invitation letters, but the decision belongs to the authorities. We cannot guarantee approval, and visa and service fees are not refundable if an application is refused.
  • Comprehensive travel insurance covering medical treatment, repatriation and cancellation is strongly recommended for every traveller, and is required on adventure and trekking programmes.
  • Entry rules, health requirements and border regulations can change at short notice; please check them for your nationality before travelling.

Health, safety and conduct

  • Tell us at the time of booking about any medical condition, allergy, dietary requirement, disability or mobility limitation, so we can advise whether a programme is suitable.
  • Some programmes involve walking on uneven ground, boats, caves or long road transfers. The difficulty level is stated in the package description.
  • Please follow the instructions of your guide, driver and local authorities at all times, particularly at religious sites and in ethnic villages.
  • We may end a guest's participation, without refund, where behaviour is unlawful, unsafe or seriously disruptive to others.

Our responsibility to you

  • We take reasonable care in selecting and coordinating the licensed suppliers who deliver each part of your programme.
  • Where a service we arranged falls below the standard promised and we are at fault, our liability is limited to the amount you paid us for that service.
  • We are not responsible for loss, damage or delay caused by you, by a third party unconnected with the programme, or by events outside our reasonable control.
  • Nothing in these terms limits any liability that cannot be limited under the law of the Lao PDR, including liability for death or personal injury caused by our negligence.
  • Personal belongings remain your responsibility throughout; please use hotel safes and keep valuables with you in vehicles.

Events beyond our control

  • This means anything we could not reasonably foresee or avoid: natural disaster, flood, epidemic, government or border action, civil unrest, war, strike, fire, or the failure of essential public services.
  • Where such an event prevents a programme going ahead, we will offer a credit valid for 12 months, a rescheduled date, or a refund of everything except costs we cannot recover from suppliers.
  • We will always show you evidence of amounts a supplier has refused to return.

Complaints and governing law

  • If something is wrong during your programme, tell your guide or coordinator immediately — most problems can be solved on the spot.
  • If it cannot be resolved there, send a written complaint to info@adslao.com within 30 days of the end of the programme, with any supporting photographs or receipts.
  • We acknowledge every written complaint within 5 business days and aim to give a full reply within 20 business days.
  • These terms are governed by the law of the Lao PDR, and any dispute not settled between us will be dealt with by the competent courts of Vientiane Capital.

Costs already committed to third parties — issued air tickets, paid visa fees, venue and event deposits and non-refundable hotel rates — are deducted before the refund is calculated. Corporate events and conferences may carry their own schedule, which is stated in the quotation for that programme.

Acceptance

Paying a deposit, settling an invoice or confirming a booking in writing means you accept these terms for yourself and for everyone in your party. If there is anything here you cannot accept, please tell us before you pay — we can often agree different wording in the contract for your programme.
